ABOUT INVOIXER
What is Invoixer?

Invoixer is a custom build invoice template system, that integrates with Xero. We understand that certain industries have more complex invoicing structure, whose data Xero does not fully allow to capture. Hence, Invoixer was created to meet that need.

Is Invoixer suitable for my business?

Invoixer was made for any company with more complex invoicing requirements that still want to enjoy the benefits of the Xero accounting software. We will seek to understand your company’s invoicing requirements and create a custom template for you that can fully integrate with Xero’s platform.

However, presently, we are targeting more towards shipping companies. If you are not from the shipping industry but would like to enquire about our services, feel free to drop us a line!

What are the benefits of Invoixer?

The main benefit is that our system fully integrates with Xero’s platform. You may fully utilize all of Xero’s accounting features while having a customized invoice template that can create and send out invoices quicker.

Why not just use Xero's invoicing feature?

Xero invoicing has very basic features, such as keying item description, item amount, and addressee. After all, Xero’s goal is to simplify accounting needs. However, not all companies have simple invoices.

Invoixer allows for more detailed information to be keyed into your invoices. The pertinent information that is needed will still be captured and synced over to Xero for accounts reconciliation.

Do I need to download an application to use Invoixer?

Invoixer is a cloud-based web application like Xero. You may use it on web browsers such as Google Chrome, Morzilla Firefox, Safari etc.

Is Invoixer an opened platform for anyone to register and use?

Invoixer can only be purchased on the Xero marketplace, meaning you would first need to have an existing Xero subscription.

Currently, Invoixer is geared more towards shipping companies. If you would like a customized invoice template system for your business, please reach out to us!

GETTING STARTED
Can multiple users log in at the same time?

Yes, multiple users can log in and use the system concurrently.

What if I forget my password?

You need to ask your admin to reset the password. If you are the admin and you forget the password, please seek help from our IT support.

How do I invite someone into Invoixer?

Select the Users tab and click on the Add New User. From there create an account for the person you wish to invite and define his access role (i.e. User or Admin). You may then send him or her their log-in details.

Proposed change: The log-in details will be sent to user’s email account.

How do I add my supplier's contact?

Select the Contacts tab and click on the Add New Contact button. Fill in the relevant contact details into the fields provided.

Contacts can be added either on Xero or Invoixer, and will be updated on both ends.

I have recently changed my company logo. How do I upload it onto my invoice on Invoixer?

You may update your company logo on the company details page located on the top right-hand corner. (Not implemented yet)

INVOICING
How does the sync between Invoixer and Xero work?

Syncing happens both ways (from Invoixer to Xero and Xero to Invoixer). When you click on the sync button, the following things happen:

  • Downloads all contacts from Xero
  • Sync Xero contacts to Invoixer
  • Upload contacts to Xero
  • Download invoices from Xero
  • Sync invoices
  • Upload invoices to Xero

Syncing happens automatically every 5 minutes. However, when a change is made on an invoice, (either on Xero or Invoixer) that invoice will be queued for sync. A yellow icon beside the invoice symbolizes that a change is made from Xero, while a green icon, indicates that a change has been made from Invoixer.

What if my invoice doesn't sync to Xero ?

Firstly, select the Xero Status tab to check whether you are connected to Xero. Once this is ascertained, click on the sync button at the top righthand corner. If the sync still does not take place, reach out to us for technical assistance.

How do I print an invoice on Invoixer?

Select the invoice you wish to print. On the top right corner of the invoice, there is a Print PDF button in white. Click on it to print the invoice.

Can I see a deleted/voided invoice?

A deleted invoice should not be seen on the main list on either Xero or Invoixer. However, it can be searchable by ticking a checkbox to “Include Deleted and Voided” invoices.

However, currently on the Invoixer system, deleted draft invoices will be reflected as deleted, while voided invoices will be reflected as voided.

I deleted a draft invoice on Invoixer, however it is still shown on Xero?

This is most likely due to a sync issue and may work both ways. Simply click on the sync button to initiate a sync between the two platforms. If the issue persists, please reach out to our IT support.
